Submitting a Bid

When NES needs a product or service that you provide, you will receive a request to submit a quotation and our standard bid form. 

  • Purchases under $5,000 - Generally, at least three quotations are solicited.  Selection is based on the low, responsive and responsible bidder. 
  • Purchases over $5,000 – Solicitations for quotations are sent to all firms in our database that offer the specific product or service that is needed.
  • Professional/Contract Services – Proposals are publicly opened and announced.  The proposals are kept confidential until the evaluation is complete.  All documents are available for review after the award is made.

Bid Process

Simply fill out the RFQ form provided to you and return it by the date and time due.  Be sure to read the document carefully, attend any scheduled pre-proposal conferences, and contact the buyer with any questions. 

  • Fill in your quoted price under the column “Unit Cost.”  Then add the total cost of your bid in the next column.
  • Sign and date your bid.
  • Include the terms of payment, if they are different than 30 days net.  Include freight or delivery in your quoted price.  NES does not pay for those charges.
  • Include the NES inquiry number and open date on the outside of the envelope for sealed submittals.
  • If a bid allows a fax return, send it to 615-747-3860.

We provide all suppliers with the same information and we make the bidding process completely open.  We do not discriminate in the way we evaluate bids or award contracts.  NES carefully considers all bids.  We work to ensure that all companies have a fair opportunity to win NES contracts, regardless of their size, or the race, sex, religion or ethnic origin of its owners.
